Changes to the handling of Suspected Spam
We have recently made some changes to our internal anti-spam configuration. Up until the changes, we had been having all incoming emails that are flagged as suspected spam redirected to my email account. Outlook would move these suspect emails to a separate folder in my outlook which I would monitor regularly, and forward any legitimate emails to the original recipient. My thinking was that I was that I was taking some of the load off of our users by filtering the suspected spam myself as well as monitoring the amount of legitimate spam being caught by the filters.
It turns out that there were a couple issues with this scenario, however:
The new configuration works as follows:
Emails sent to you that are flagged as suspected spam by the anti spam server will now be delivered to the Junk E-mail folder in your Outlook.
You should make a point of checking this folder throughout the day.
You can move anything that is legitimate to your Inbox.
Any emails that do not look to be legitimate should not be opened (or attachments opened) and should be deleted.
If you are constantly receiving spam from the same email address contact the IT Department and we can block these at the front end. If the emails are from legitimate companies you should try to unsubscribe first, but do not attempt to unsubscribe from anything that you do not recognize as this can be used to confirm your email address and make it more appealing to the spammers.
Any emails flagged as Suspected Spam will continue to be forwarded to the IT Department as well, and we will continue to monitor the levels users receive and adjust the filter settings accordingly.
